Protection of private data

Your privacy is very important for Kresoft Systems. We have updated our privacy policy to fully align with the new requirements of GDPR. This means that your data is safe with us and we manage it appropriate.

Kresoft Systems processes private data of natural persons having a direct or indirect relation with our company, i.e. in the past, now or in the future.
It concerns data of current customers, suppliers, employees, but also about prospects and potential employees.

Kresoft Systems saves this private data in a database in a secure environment. All necessary actions have been taken to block access to unauthorized persons. This information will not be shared with third parties for commercial purposes.

It concerns this kind of data

  • General
    • First- and last name: for communication concerning requested services
    • Address (from the company or private customer): to send documents (e.g. invoices) or to deliver material/services.
    • Phone number, fax,  mobile phone number: for direct communication concerning requested services
    • E-mail address: for extended communication concerning requested services
    • Function in the company: to know who to contact depending on the situation
    • VAT-number and other necessary data needed for the legal administration (eg. accountancy), to receive payments for the supplied services, to do payments to employees or suppliers for their supplied services.
  • Additional customer data processing (the processing of the data in this part is necessary to accomplish the agreement with our customer)
    • To manage software/database/system: if the agreement defines that Kresoft Systems is responsible for this (complete or partially) the necessary access data will be stored. It concerns these components: Active Directory, database, switch, router, printer, software applications, …
    • Analyzation documents, descriptions of processes, communication (e.g. e-mails) and all other documents which we need to be able to develop/manage/support the solution that we have supplied and for which we are responsible.
    • (Sample-) databases of our customer for testing purposes with relevant data and/or to be able to develop software functionalities using the customers system parameters.
  • Recruitment purposes
    • Kresoft Systems collects personal data to recruit new eployees. This processing finds its legal ground in the consent of the candidate employee on the one hand and our legitimate interest in recruiting the suitable candidate for a position on the other hand.
  • Visit website
    • We collect data while you are visting our website. For instance cookies. We use this data to analyze our vistors and to develop our service and website and to modify to personal preferences. You can find our cookie statement here.
    • We use Google Analytics to analyze our website. Google can share this information to third parties if Google is legally obligated to do so. We have not permitted Google to share the obtained analytics information with third parties nor to use it for other Google services. The information that Google collects is anonymized as much as possible: eg your IP address is anonymized.

How long do we keep this private data?

We keep your personal data as long as necessary for the purposes for which they are processed. In order to determine the correct storage period, we take into account the quantity, the nature and the sensitivity of the personal data, the reason why we process them and whether we can achieve these goals in other ways.

We also need to consider the period for which we may need to retain personal data to meet our legal obligations (eg with regard to invoicing and accounting processing) or for handling complaints, questions and for protecting our legal rights in the case of a claim.

When we no longer need your personal data, we will safely remove or destroy it. We also take into account how we can reduce the personal data we use in the future and whether we can anonymize your personal data so that it can no longer be linked to you or identify you and in that case we can use this information without further notice to you.

With the contact form you can ask us questions or make requests.

Provision to other companies or institutions

We do not, under any circumstances, provide your personal data to other companies or institutions, except when we are legally obliged to do so (for example, if a government agency requires it if there is a suspicion of a crime).

Direct marketing

We would like to send you advertising / newsletters about offers and new / renewed products or services. We do this:

  • by e-mail
  • using social media

Sending mailings to our customers is part of our legitimate interest. It is both in your and in our interest that you as a customer are kept informed of our activities and new services. You can object to these advertisements / newsletters at any time. You can block us or contact us to indicate that you no longer wish to receive advertising / newsletters in the future (you can find our contact details below).

Changes to this privacy statement

Our privacy policy may be reviewed from time to time and any changes to the policy will be communicated to you by e-mail or will be published on our website.

Access, change and delete your data

If you have questions or want to know what personal data we have about you, you can contact us (you can find our contact details below). Please note: once an order has been placed, it is not possible to adjust or delete the invoicing data afterwards.

Your rights include:

  • get an explanation about what personal data we have and what we do with it
  • insight into the exact personal data we have
  • to have errors corrected
  • the remove of outdated personal data
  • withdrawing permission
  • object to a particular use

Please note that you always clearly state who you are, so that we can be sure that we do not modify or delete data from the wrong person.

Submit a complaint
